Job Summary

The Financial Administrative Assistant will primarily provide high-level administrative, operational, and client-service support to a financial advisor and his clientele. This person will play a key role in ensuring smooth client onboarding, accurate account processing, compliance documentation, and day-to-day office operations.

Key Responsibilities

  • New client account setup and onboarding
  • Manage asset transfers and ensure paperwork is completed accurately and on time
  • Support back-office compliance functions and maintain complete documentation
  • Handle routine client service requests, including account updates and withdrawals
  • Manage calendars, schedule meetings, and prepare correspondence
  • Organize and maintain physical and electronic files
  • Monitor office email inboxes and answer incoming phone calls
  • Assist with office logistics and administrative tasks, including supply management
  • Maintain accurate records in systems such as Salesforce or Redtail
  • Ensure all activities align with applicable industry regulations and internal procedures

Systems / Tools

  • Microsoft Office 365
  • CRM platforms such as Salesforce or Redtail

Qualifications

  • Experience with client onboarding and account maintenance -preferred
  • Exposure to asset transfers and administrative processing – preferred
  • Strong organizational skills and attention to detail
  • Ability to follow through and ensure nothing falls through the cracks
  • Professional discretion handling confidential financial information
  • Strong written and verbal communication skills
  • Tech-savvy and comfortable learning systems quickly
  • Someone who is dependable, understands priorities, and can be trusted with sensitive work
