Position Overview
We are seeking a detail-oriented and highly organized Administrative Assistant to support daily operations in a fast-paced, onsite environment. This role requires strong data entry accuracy, timekeeping support experience, and the ability to manage multiple administrative tasks efficiently while maintaining professionalism.
Key Responsibilities
- Perform daily timekeeping data entry across multiple departments
- Generate and maintain timekeeping reports
- Process cost requests within SAP
- Manage invoice processing, payment research, and same-day payment check creation in SNAP
- Support onboarding activities for daily hires
- Update and manage rate changes within timekeeping systems
- Track employee sick and vacation time
- Process Archibus approvals and create records for newly hired craftsmen
- Scan and maintain invoice documentation
- Perform additional administrative duties as assigned
Required Qualifications
- Proven experience as an Administrative Assistant in a professional environment
- Prior experience with timekeeping processes preferred
- Basic to intermediate proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong data entry skills with high attention to detail
- Excellent organizational and time management abilities
- Strong verbal and written communication skills
- Ability to follow instructions and meet deadlines
- Demonstrated professionalism and customer service orientation
- Ability to work independently and manage multiple priorities
Preferred Skills & Experience
- Experience with Timekeeping systems
- Working knowledge of SAP, SNAP, DocuSign, and SharePoint
- Familiarity with Sphere and Archibus systems
- Knowledge of IATSE and Basic Crafts contracts
- Union payroll experience
- Proficiency with 10-key data entry
- Experience using standard office equipment
