Schedule: Monday – Friday (Hours between 8:00 AM – 5:30 PM)
Role Overview
We are seeking a highly organized and proactive Administrative Assistant to support a dynamic team of 2–3 leaders within our Financial Advisor Services division. This is a fast-paced, collaborative environment where you will serve as a critical backbone for daily operations.
The ideal candidate is a problem-solver who can anticipate executive needs, manage complex logistics, and maintain a high level of professionalism while handling sensitive information.
Key Responsibilities
- Complex Calendar Management: Coordinate intricate schedules for multiple principals, managing both internal and external engagements and prioritizing high-volume meeting requests.
- Travel & Expense Coordination: Arrange comprehensive travel itineraries and manage expense reporting (experience with Concur is a plus).
- Communication & Relationship Building: Act as a liaison for clients both inside and outside the firm, ensuring professional and timely communication.
- Project Coordination: Efficiently manage multiple projects and deadlines, ensuring all tasks are tracked to completion.
- Meeting & Event Planning: Assist in the planning, coordination, and execution of team meetings and special events.
- Daily Support: Use Microsoft Office tools (Outlook, OneNote, Copilot, Teams, Excel) to streamline workflows and improve team productivity.
Required Skills & Qualifications
- Experience: 3 to 5 years of experience in an administrative support role, ideally supporting executive-level leadership.
- Technical Proficiency: Advanced skills in the Microsoft Office Suite, specifically Outlook, OneNote, and Teams. Familiarity with AI tools like Copilot is a plus.
- Communication: Exceptional verbal and written communication skills with a high attention to detail.
- Adaptability: Proven ability to support diverse personalities, remain calm under pressure, and pivot quickly as priorities change.
- Problem-Solving: A proactive mindset with the ability to identify and resolve issues before they escalate.
