Job Objective

The Administrative Executive plays a key role in ensuring the smooth and efficient operation of the organization by providing comprehensive administrative and operational support across all departments.

Key Responsibilities

IT Asset Management

  • Maintain an accurate inventory of all IT assets
  • Coordinate procurement, distribution, and disposal of IT equipment
  • Ensure compliance with internal IT policies and procedures

Facility Management

  • Oversee daily facility operations to ensure a safe and productive work environment
  • Liaise with external vendors for maintenance, repairs, and services
  • Implement cost-effective solutions to improve workplace efficiency

Meeting Room Management

  • Manage and coordinate meeting room bookings
  • Ensure rooms are properly set up and equipped as required
  • Resolve scheduling conflicts and optimize space utilization

Employee Onboarding Support

  • Coordinate with HR to prepare and distribute employee joining kits
  • Support onboarding activities to ensure a smooth induction experience

Supplier & Payment Coordination

  • Process and track payments related to office suppliers
  • Maintain accurate records of invoices and expenses
  • Work closely with Finance to ensure timely payment processing

Housekeeping Management

  • Supervise housekeeping services to maintain cleanliness and hygiene standards
  • Conduct regular inspections and address issues promptly

Office Supplies & Requirements

  • Manage office supplies, equipment, and general requirements
  • Coordinate with departments to fulfill operational needs
  • Ensure cost-effective procurement and inventory control

Requirements

  • Bachelor’s degree in Business Administration or a related field
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficiency in Microsoft Office
  • Flexible and able to work extended hours when required
