The Administrative Assistant is a vital member of the Marriott International, Inc. team. This individual will provide administrative support to the senior leadership team and perform a variety of tasks to ensure the smooth and efficient operation of the office.
Key Responsibilities:
– Manage the calendar of the senior leadership team, scheduling meetings and appointments, and coordinating travel arrangements
– Answer and screen phone calls, take messages, and respond to inquiries in a professional and timely manner
– Prepare and edit reports, presentations, and other documents as requested by the senior leadership team
– Organize and maintain files, both electronic and physical, ensuring all documents are easily accessible and confidential information is handled with discretion
– Process expense reports and invoices, and assist with budget tracking and management
– Coordinate and set up conference calls, webinars, and meetings, including arranging for catering if needed
– Greet and welcome guests, ensuring a positive and professional experience upon arrival
– Handle incoming and outgoing mail, including distributing to the appropriate parties and preparing packages for shipping
– Handle general office duties such as ordering supplies, maintaining office equipment, and overseeing office cleanliness
– Assist with special projects and events as needed
Qualifications:
– High school diploma or equivalent required, college degree preferred
– 2 years of administrative or executive assistant experience
– Proficient in Microsoft Office Suite, with advanced skills in Microsoft Excel and Power Point
– Strong organizational skills and attention to detail
– Excellent written and verbal communication skills
– Ability to prioritize and handle multiple tasks in a fast-paced environment
– Proactive and able to work independently, taking initiative to anticipate needs and provide solutions
– Ability to handle sensitive information with confidentiality and discretion
– Previous experience in the hospitality industry is a plus
– Must be able to work a flexible schedule, including evenings and weekends, as needed
