The Team

The Administrative Assistant provides essential support to the Executive Assistant and team, facilitating client engagement, department operations, and personnel activities.

How You Will Contribute

This is a hybrid position requiring 3 days per week in the office.

Responsibilities:

  • Expense & Time Management: Prepare, reconcile, and submit accurate expense reports and timesheets in a timely manner.
  • Travel Coordination: Arrange travel logistics, including flights, hotels, car services, and travel documentation management.
  • Calendar & Meeting Support: Manage executive calendars, schedule meetings/events, and organize conference calls.
  • Communication & Email Management: Assist with email prioritization, follow-ups, and departmental communication. Go through inbox and prioritize
  • Subcontractor Administration: Coordinate the setup of subcontractors and monitor their payment processes.
  • Onboarding & Compliance: Assist with new hire onboarding and track Continuing Professional Education (CPE) requirements.
  • General Administration: Provide comprehensive office support, including handling sensitive documents, greeting visitors, and answering phones.
  • Project Assistance: Collaborate on team projects, provide ad hoc support, and execute special assignments as needed.

Qualifications

  • Bachelor’s degree in a relevant field is preferred but not required.
  • 1–3+ years of administrative experience within professional services, consulting, legal, or corporate environments.
  • Advanced skills in Microsoft Office (Excel, Word, Outlook, PowerPoint); Concur experience is a plus.
  • Proven ability to handle sensitive and confidential information with high discretion.
  • Exceptionally organized with strong attention to detail and consistent follow-through.
  • Ability to manage multiple priorities, meet deadlines, and keep projects moving efficiently.
  • Strong written and verbal communication skills for professional interaction.
  • Proactive and resourceful, taking ownership of tasks, and working independently in a fast-paced environment.
  • Comfortable collaborating with team members and building professional relationships at all levels.
  • Eager to learn, open to feedback, and flexible regarding hours based on team needs.

Full-time Positions and Part-time Positions Over 30 hours

Regular employees working 30 or more hours per week are also entitled to participate in Alvarez & Marsal Holdings’ fringe benefits consisting of healthcare plans, flexible spending and savings accounts, life, AD&D, and disability coverages at rates determined periodically as well as a 401(k) retirement savings plan. Provided the eligibility requirements are met, employees will also receive an annual discretionary contribution to their 401(k) retirement savings plan from Alvarez & Marsal. Additionally, employees are eligible for paid time off including vacation, personal days, seventy-two (72) hours of sick time (prorated for part time employees), ten federal holidays, one floating holiday, and parental leave. The salary range is $55,000 – $70,000 annually, dependent on several variables including but not limited to education, experience, skills, and geography. In addition, A&M offers a discretionary bonus program which is based on a number of factors, including individual and firm performance. Please ask your recruiter for details.
