Administrative Assistant Jobs in Miami at King Construction
King Cable Construction is seeking an organized, dependable, and detail-oriented Administrative Assistant to support daily office and construction operations. This position serves as a central point of communication between management, field crews, customers, vendors, subcontractors, and project partners.
The ideal candidate is comfortable managing several priorities at once, maintaining accurate records, communicating professionally, and helping construction projects stay organized and on schedule. Experience in construction, telecommunications, utilities, or field-service administration is preferred but not required.
Primary Responsibilities
- Answer and direct phone calls, emails, and general office inquiries.
- Coordinate schedules, meetings, appointments, crew assignments, and project deadlines.
- Prepare, organize, and maintain project files, job packets, work orders, contracts, permits, and closeout documents.
- Collect and review employee timecards, daily production reports, receipts, and other field documentation.
- Enter project, employee, customer, and billing information into company systems and spreadsheets.
- Assist with invoice preparation, purchase orders, expense tracking, accounts payable, and accounts receivable documentation.
- Communicate project updates and documentation needs to supervisors and field personnel.
- Track required permits, inspections, utility locate requests, certificates of insurance, and compliance documents where applicable.
- Maintain employee records, training documentation, equipment lists, and safety-related paperwork.
- Order office supplies, uniforms, safety equipment, and project materials as directed.
- Assist with onboarding new employees, including collecting employment documents and coordinating orientation.
- Support payroll preparation by verifying hours, job codes, production records, and approved reimbursements.
- Maintain confidentiality of employee, customer, financial, and company information.
- Provide general administrative support to management and assist with special projects as needed.
Qualifications
- High school diploma or equivalent required.
- At least one year of administrative, office, construction, or customer-service experience preferred.
- Strong organizational, time-management, and follow-through skills.
- Professional written and verbal communication skills.
- Ability to work independently and manage changing priorities.
- Strong attention to detail and commitment to accurate recordkeeping.
- Basic understanding of invoices, purchase orders, timecards, and expense documentation.
- Proficiency with Microsoft Word, Excel, Outlook, and general office technology.
- Experience with QuickBooks, construction-management software, payroll systems, or project-tracking platforms is a plus.
- Ability to maintain professionalism when communicating with employees, customers, vendors, and project partners.
- Reliable attendance and dependable transportation to the office, when required.
Preferred Industry Experience
Experience in any of the following areas is helpful:
- Telecommunications or cable construction
- Underground or aerial utility construction
- General construction administration
- Field-service scheduling
- Utility permitting and locate coordination
- Project billing and closeout documentation
- Payroll or timecard administration

- Job-site visits may require appropriate personal protective equipment.
