Administrative Assistant / Senior Administrative Assistant
ProspectBlue is seeking an Administrative Assistant (or Senior Administrative Assistant) for their client, a well-established family office in Richmond. This role plays a critical part in supporting a small investment team and ensuring day-to-day operations run smoothly.
The ideal candidate is highly organized, proactive, and comfortable managing multiple priorities in a professional, fast-paced office environment.
Responsibilities
• Provide day-to-day administrative support to senior leadership and the broader team
• Manage calendars, meetings, travel coordination, and general scheduling logistics
• Draft, proofread, and format correspondence, reports, and presentations
• Maintain organized electronic filing systems and office documentation
• Serve as a key point of contact for internal team members and external partners
Real Estate & Investment Support
• Assist with administrative coordination related to the firm’s real estate holdings
• Maintain records related to leases, property documentation, insurance, and key deadlines
• Track contracts, vendor agreements, and important property-related documentation
Vendor & Professional Coordination
• Coordinate communication with external partners including attorneys, accountants, consultants, and vendors
• Assist with document exchanges, billing coordination, and vendor onboarding
• Track timelines and ensure requests and deliverables are completed efficiently
Operational & Financial Support
• Process invoices and assist with expense tracking and documentation
• Support internal processes related to audits, tax preparation, and financial reporting
• Help maintain accurate internal records across properties, vendors, and entities
Qualifications
• 5+ years of administrative experience in a professional office environment
• Exceptional attention to detail and strong organizational skills
• Ability to manage multiple priorities independently
• Strong written and verbal communication skills
• High level of discretion and professionalism when handling sensitive information
• Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
Preferred Experience
• Experience supporting investment professionals, family offices, or financial services teams
• Exposure to real estate operations or property management administration
• Experience working with legal, accounting, or other professional service providers
