We are seeking an experienced and highly organized Office Administrator to join a busy and growing service/manufacturing company in the Pensacola area. This is not an entry-level role…we’re looking for someone with strong office experience who can jump in confidently, learn quickly, and become a key part of the team. Every day is different, and during peak seasons things can move fast, so adaptability and attention to detail are essential.

What You’ll Be Doing

Responsibilities may include:

  • Creating estimates, orders, and pick tickets
  • Processing customer orders and invoices
  • Scheduling service calls and coordinating technician routes
  • Answering phones and responding to emails
  • Managing accounts receivable and vendor invoices
  • Gathering information and following up with customers/vendors
  • Booking shipments and obtaining freight quotes
  • Data entry, scanning, filing, and calendar management
  • Communicating with clients via phone, email, text, and letters
  • Utilizing QuickBooks, Microsoft Office, Outlook, Excel, and routing applications

  • Exceptional attention to detail and accuracy
  • Strong multitasking and problem-solving abilities
  • Experience in a service, construction, electrical, plumbing, manufacturing, or trade-related office environment
  • The ability to learn quickly and retain information
  • Professional communication and customer service skills
  • A team-oriented attitude and willingness to help wherever needed

Preferred Qualifications

  • 10+ years of general office experience preferred
  • 3+ years of Accounts Receivable experience preferred
  • 3+ years of QuickBooks experience required
  • 5+ years of Microsoft Outlook experience required
  • 5+ years of Microsoft Excel experience preferred
  • Experience with scheduling or dispatching preferred
  • Marketing or market research experience is a plus

Schedule & Work Environment

  • Full-time position
  • Monday–Friday
  • Flexible hours between 8:30 AM – 5:00 PM
  • Casual, fast-paced office environment
  • Seasonal demands during busy summer months may limit time off availability
