Responsibilities
- Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette.
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools.
- Coordinate calendar management and scheduling for team members, ensuring meetings and appointments are organized efficiently.
- Handle clerical tasks such as filing, proofreading documents, and maintaining organized digital and physical filing systems.
- Support bookkeeping activities using QuickBooks to support the full-time bookkeeper with tracking reports and expenses across our 3 businesses.
- Provide exceptional customer support by addressing inquiries promptly via phone or email and assisting clients or visitors as needed.
- Assist with office management duties such as ordering supplies, managing office equipment, and ensuring a clean, professional environment.
Experience
- Previous office experience or administrative experience in a fast-paced environment is preferred.
- Proven proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience handling multi-line phone systems and managing front desk operations is highly desirable.
- Bilingual skills are a plus to effectively communicate with diverse clients and team members.
- Familiarity with clerical tasks such as data entry, filing, proofreading, and calendar management is essential.
- Knowledge of bookkeeping software like QuickBooks or basic bookkeeping practices will be advantageous.
- Strong organizational skills with the ability to prioritize tasks efficiently while maintaining attention to detail.
