Position Overview
A growing organization is seeking an experienced and highly organized Administrative Assistant to support the efficient operation of the firm. This role will provide comprehensive administrative and operational support while contributing to the ongoing development and improvement of internal processes. The ideal candidate is professional, outgoing, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. This individual should be comfortable supporting administrative, operational, and strategic initiatives while working both independently and collaboratively across the organization.
Key Responsibilities
- Provide administrative support to internal teams and external stakeholders, including scheduling, coordination, planning, and general correspondence.
- Coordinate recurring and ad hoc meetings, including preparing meeting materials, arranging catering, distributing information, and managing related logistics.
- Manage travel calendars and develop detailed travel itineraries.
- Coordinate office supply fulfillment, including receiving, organizing, distributing, and replenishing supplies throughout designated areas.
- Support expense and travel management processes, including serving as a backup for biweekly expense reporting.
- Manage certified mailings related to tax filings, distributions, notifications, and other business correspondence.
- Maintain calendars for team leaders and assist with scheduling priorities.
- Perform reception duties and provide additional clerical support as needed.
- Assist with the ongoing evaluation and improvement of administrative and operational processes.
- Anticipate the needs of team members and proactively resolve administrative challenges.
Qualifications
- Two to five years of administrative assistant, executive assistant, office coordination, or related experience.
- Exceptional written and verbal communication skills.
- Strong interpersonal skills and emotional intelligence, with the ability to build effective working relationships.
- Demonstrated sense of ownership, accountability, and personal responsibility.
- Ability to work effectively both independently and as part of a collaborative team.
- Highly organized, resourceful, and detail-oriented.
- Ability to manage multiple priorities and meet deadlines in a fast-paced, evolving environment.
- Proactive problem-solving skills and the ability to anticipate the needs of others.
- Strong interest in professional growth and continuous development.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Experience with Concur or a similar travel and expense management platform.
- Familiarity with virtual meeting and conferencing platforms, including Microsoft Teams and Zoom.
