Overview

As the Administrative Assistant, you will play a pivotal role in supporting our executive leadership team. Your responsibilities will include handling administrative tasks, collaborating on critical projects, and ensuring the smooth flow of daily operations. With your exceptional attention to detail and ability to prioritize tasks effectively, you will help drive the team’s efficiency and productivity.

This role offers a highly rewarding onsite opportunity in Westlake, TX.

Position Responsibilities:

  • Provide exceptional administrative support to multiple senior executives and the executive assistant

  • Manage executives’ schedules, including calendar management, meeting coordination, and travel arrangements

  • Coordinate and attend meetings as needed

  • Coordinate and pick up lunch for meetings and other events

  • Assist with budget management and expense reports

  • Collaborate with other members of the organization on various projects and initiatives

  • Conduct research and compile data for reports and presentations

  • Answer phone calls, respond to emails, and handle incoming and outgoing correspondence

  • Manage confidential information and ensure proper handling of sensitive materials

  • Build and maintain relationships with clients, vendors, and stakeholders

  • Act as back-up coverage for the receptionist and facilities

  • Other duties as assigned by executives or management.

  • Performs other related duties as assigned


Qualifications:

High School Diploma or GED

Ability to work in office 5 days a week

Excellent organizational and time-management skills

Strong communication skills, both written and verbal

Proficient in Microsoft Office suite and other relevant software programs

Ability to prioritize tasks and manage multiple projects simultaneously

Exceptional attention to detail and accuracy

Ability to handle confidential and sensitive information with discretion and professionalism

Ability to work independently and as part of a team

Strong problem-solving skills and ability to think critically

Flexibility and adaptability to changing priorities and deadlines

Positive attitude and professional demeanor

Strong work ethic and commitment to excellence.


Preferred qualifications:

1+ year of corporate administrative assistant experience
