About the Role:
The purpose of this role is to provide high-quality administrative support across all clinical programs. This includes coordinating governance processes, undertaking secretariat duties for advisory groups and committees, and managing learner enrolment data to ensure accuracy and compliance.
This position is responsible and accountable for delivering the following key outcomes:
- Provide high level clerical, confidential administrative and executive support by preparing correspondence and maintaining documents and files.
- Coordinate governance activities, data management and reporting, undertaking secretariat duties for advisory groups and project committees.
- Preparing documentation for reporting purposes using excel and other data analysis systems.
- Reviewing, formatting and preparing documents to comply with Ageing Australia brand standards using PowerPoint and Adobe.
- Manage stakeholder enquiries and complaints by responding to or referring enquiries to the appropriate business representative in an efficient and timely manner.
- Apply knowledge and understanding of administrative principles, practices, methods and techniques to manage all administrative records.
- Build and maintain strong working relationships with internal and external stakeholders.
- Coordinate meetings, leadership forums and project activities ensuring materials are prepared and distributed in advance.
- Maintain SharePoint sites, records management systems and version control, and support reporting, workforce data summaries and governance deliverables.
- Manage and maintain organisational systems such as the Ageing Australia mentoring platform to ensure data integrity, accuracy and the ability to generate reports as required.
- Review work practices to propose improvements to the way the organisation performs administrative tasks.
- Maintaining learner records utilising Ageing Australia’s customer record management system.
- Other tasks as directed by the Senior Clinical Advisor that promote Ageing Australia’s strategy and business objectives.
- Behave consistent with Ageing Australia values when interacting with staff, Members, and stakeholders.
- Comply with all Ageing Australia work health and safety policies and procedures.
Please note this is a fixed term role with an end date of 30 June 2027.
Selection Criteria:
- Relevant qualifications in Office Administration (TAFE equivalent or formal qualifications).
- Demonstrated ability to provide governance and secretariat support, including preparation of agendas, minutes and coordination of actions.
- Experience in managing organisational systems (e.g., customer relationship systems and mentoring platforms), ensuring data accuracy and the ability to generate reports.
- Experience in managing learner enrolment data and other program records, with strong attention to detail and reporting capability.
- Excellent written and verbal communication skills.
- Excellent interpersonal skills, including the ability to form strong working relationships with colleagues and build credibility and rapport with stakeholders.
- Demonstrated ability to work independently and collaboratively within a team environment to deliver project-based work and activities.
- A high-level of personal motivation, sound judgement and initiative, a flexible attitude and approach.
- Experience in providing high-level customer service across all levels of an organisation in a timely, accurate and professional manner.
- Advanced proficiency across Microsoft Office Suite and collaboration tools, including Word, Excel, PowerPoint, Outlook, Teams and SharePoint.
- Strong time management skills with the ability to identify and manage risks and potential barriers whilst working within a fast-paced environment.
