Job Summary

This role is responsible for creating, submitting, and managing purchase requisitions in the ERP system, ensuring all requests are accurate, complete, and aligned with approved specifications, budgets, and company policies, while coordinating with Procurement and relevant stakeholders to support timely delivery of materials and services.

Key Responsibilities

  • Coordinate closely with Procurement to ensure Purchase Requisitions (PRs) are converted into Purchase Orders (POs within required timelines).
  • Liaise with technical teams to ensure accurate and complete specifications are provided.
  • Coordinate with Finance and management to obtain necessary approvals.
  • Communicate effectively with internal stakeholders on PR status and delivery timelines.
  • Ensure timely approval and processing of all PRs.
  • Monitor PR and PO status to support on-time delivery of goods and services.
  • Follow up with Procurement and vendors, where required, on delayed orders.
  • Report, track, and assist in resolving issues related to quality, delivery, or service.
  • Confirm receipt of goods and services and ensure accurate and timely PR closure.
  • Ensure all PRs comply with company policies, procedures, and audit requirements.
  • Maintain complete and accurate documentation and records for all requests.
  • Support internal and external audit processes by providing required documentation.
  • Adhere to all Health, Safety, and Environmental (HSE) policies and standards.
  • Identify, assess, and report procurement-related risks in a timely manner.
  • Ensure procurement requests do not compromise safety or regulatory compliance.
  • Engage and collaborate with key stakeholders, including requesting departments, Procurement, Finance, project and technical teams, and vendors (as required).

Qualifications

  • Bachelor’s degree in business / commerce / or related field
  • Basic understanding of procurement processes

Experience

  • Minimum 2 years of experience in a similar role

Technical Competencies

  • Proficient in MS application (Outlook, Word, Excel, Visio and PowerPoint)
  • Oracle / Sage / SAP advantageous
