Job Summary
The Overdose Prevention Engagement Network (OPEN) is a diverse team dedicated to improving lives and reducing harms of substance use. By engaging with individuals, communities, and organizations, the team shares education and resources to strengthen person-centered prevention, treatment, and recovery.
We are seeking a dedicated Administrative Specialist to join our operations team. The ideal candidate will provide human resource support; facilitate hiring, onboarding, offboarding, and timekeeping processes for staff and research assistants. The role includes equipment tracking, facilitating service requests, and assisting with procurement. Excellent communication, organization skills, and adaptability are essential in this fast-paced research environment.
Responsibilities Human Resource Support
Facilitate hiring processes for OPEN staff and RAs, including resume review, interview scheduling, salary setting, and documentation.
Manage onboarding and offboarding processes.
Maintain access controls via Group Management Tool, SharePoint, Google Drive, Slack, and building access.
Update remote/flexible work agreements annually.
Oversee time reporting, maintain calendars, train staff on timekeeping, run reports, and handle payroll questions.
Review effort assignments and assist with effort certification.
Maintain HR documentation and communication on updates and policies.
Equipment Maintenance
Manage staff equipment, ensure functionality, and order as needed.
Track equipment, manage removal forms, and facilitate IT requests.
Oversee OWL equipment and meeting setup.
Other
Duties
Serve as backup for procurement, review purchase requests, and process payments.
Participate in Data Safety Monitoring Board activities as needed.
Perform additional tasks as assigned.
Qualifications Required
Bachelor’s Degree and 4+ years of professional experience.
Ability to work independently and collaboratively.
Strong organization and multitasking skills.
Excellent communication skills.
Desired
Quick learner of new systems and policies.
Experience with UM systems (M-Pathways, M-Reports).
Proficiency in Microsoft Office.
Knowledge of UM and departmental policies.
Work Schedule
Hybrid position requiring 2-3 days in-office at North Campus Research Complex, Ann Arbor. Work agreements reviewed annually and subject to change.
Additional Information
This is a term-limited role for 2 years (end date 9/30/2026), with possible renewal. The appointment is not a contract or guaranteed employment. Employment is at-will per University policies.
