Position Title: Accounting Clerk
Reports To: Accounting Manager
Location: On site in Boise, Idaho
FLSA Classification: Non-Exempt, Full-Time, Paid Bi-Weekly
Job Overview
As an Accounting Clerk, you will support both the Accounts Payable (AP) and Accounts Receivable (AR) functions within our organization. You will play an integral role in ensuring the efficient processing of invoices, timely payments, and maintaining strong relationships with both vendors and customers. This dual role position provides a great opportunity to learn and grow in the financial operations of a leading commercial door and specialties distributor. Strong attention to detail, time management, and effective communication skills are essential in this position.
Key Responsibilities & Duties
Accounts Payable (AP) Responsibilities
· Accurately match invoices with purchase orders and delivery receipts, ensuring proper documentation is attached for payment approval.
· Assist with preparing vendor payments, ensuring they are made in a timely manner according to agreed terms to maintain healthy vendor relationships.
· Communicate with vendors as needed to resolve any discrepancies, clarify payment terms, and ensure that accounts are accurate and up to date.
· Maintain accurate and organized AP records and digital files for future reference and audit purposes.
Accounts Receivable (AR) Responsibilities
· Assist in preparing and sending invoices to customers promptly.
· Monitor customer payments, track aging balances, and ensure timely collection. Work closely with customers to follow up on overdue invoices.
· Assist in the collections process by contacting customers regarding overdue payments and maintaining clear records of all communications.
· Help prepare and review AR aging reports, ensuring all outstanding balances are tracked and managed efficiently.
· Maintain accurate and organized AR records and digital files for future reference and audit purposes.
Administrative & Team Collaboration
· Work closely with other departments, including project managers and procurement.
· Answering phones and greeting customers, as needed.
· Assist in transferring hard copy documents to digital.
· Provide administrative support to the accounting department, including filing, organizing records, and assisting with general office duties.
· Serve as one of the company’s Notaries, providing notarization for required company documents.
· Work closely with the AP and AR teams to identify and resolve discrepancies, streamline processes, and enhance team efficiency.
· Maintains confidentiality and discretion.
· Perform other duties and assist with special projects assigned.
Skills & Qualifications
Required
· Strong written and verbal communication skills in English to interact effectively with team members, vendors, and customers.
· Proficient in using computer systems and the ability to quickly learn new accounting software and programs.
· Proficient in ERP systems (e.g., QuickBooks, or other industry-specific software).
· Strong Attention to detail and exceptional ability to handle data accurately.
· Ability to prioritize tasks, meet deadlines, and manage time effectively in a fast-paced work environment.
· A collaborative attitude and a willingness to work closely with cross-functional teams to meet organizational goals.
Preferred
· Prior experience with Microsoft Dynamics NAV is a plus.
· Comfortable with Microsoft Excel (e.g., pivot tables, formulas) and Outlook for communication and scheduling.
· Previous experience in AP and/or AR, preferably within a construction, distribution, or building materials environment, is highly desirable.
