About the Role

We are seeking a highly organized and dependable Office Administrator to support the daily operations of our ABA clinic. This role is a key part of keeping our center running smoothly for staff, clients, and families.

This position is ideal for someone who has experience in an ABA or healthcare setting and is comfortable supporting scheduling, client coordination, and administrative processes.

Core Responsibilities

Logistics & Center Management

  • Manage inventory of clinic supplies, materials, and client reinforcers
  • Coordinate ordering, shopping, and restocking as needed
  • Serve as a transportation liaison, coordinating schedules with drivers or transportation services

Family Communication & Support

  • Act as a primary point of contact for parents for daily logistics (schedule updates, general questions)
  • Manage phone calls, emails, and front desk responsibilities
  • Provide a friendly and professional experience for families and visitors

Administrative Support

  • Provide general administrative support to clinical and operations staff
  • Maintain organization of office spaces and client-related documentation
  • Assist with onboarding tasks such as entering new client information into systems

Scheduling & Coordination

  • Assist in maintaining staff and client schedules
  • Help ensure schedules align with client needs and authorized services
  • Support daily schedule changes, including call-outs and coverage needs
  • Coordinate scheduling for new client starts in collaboration with leadership
  • Monitor schedules and communicate any gaps or concerns

Administrative Operations Support

  • Support processes related to service authorizations and tracking
  • Assist with billing coordination, including identifying and communicating issues
  • Maintain accurate and organized client records and documentation
  • Collaborate with clinical staff to support consistent service delivery

Qualifications

  • 1–2 years of administrative or customer service experience
  • Experience in an ABA, healthcare, or similar setting preferred
  • Strong organizational and multitasking skills
  • Excellent communication (verbal and written)
  • Proficiency with Microsoft Office or Google Suite
  • Reliable transportation and ability to pass a background check

Preferred Experience

  • Familiarity with Minnesota DHS processes or similar systems
  • Experience with scheduling in a fast-paced environment
  • Experience with EHR or scheduling systems (e.g., CentralReach or Motivity)
