Catholic Charities North Dakota is hiring for a Support Staff member with the Adults Adopting Specialist Kids (AASK) Program in our Bismarck, ND office. If you are someone who’s worked in the social services field and has developed great computer skills, we’d love to hear from you!
Job Function: Perform clerical work of a confidential nature for the Adults Adopting Special Kids program, a program providing adoption services to the children in the foster care system.
Job Responsibility Including Physical Demands (Essential Functions):
- Type letters, records, memos, reports, etc. from written or dictated material using a computer or typewriter.
- Process mail in a timely manner, including date stamping mail.
- Maintain a supply of appropriate forms, duplicate materials and office supplies as needed.
- Effective use of the agency computer systems for processing of all program information as required.
- Process, review and ensure accuracy of all reference request forms and background check forms.
- Set up, maintain and close case records required according to program manual.
- Regular and consistent filing as arranged with staff.
- De-identify case files as needed.
- Assist AASK staff in the completion of identified program forms, such as the SFN 1084, SFN 939, ICPC correspondence, etc.
- Secure hotel and travel arrangements for staff as requested.
- Maintain AASK Manuals in office.
- Take minutes for meetings as assigned, minimum travel required.
- Compile and process needed child referral packets and family application materials.
- Competent in the use of office equipment, such as typewriter, computer, dictating machine, adding machine, fax machine and copier as needed.
- Manage list of inquiries to the program, mail inquiry information to applicants.
- Schedule, administer, score and process inventories used by the program (i.e. the Taylor-Johnson Temperament Analysis and the Adolescent Adult Parenting Inventory).
- Provide CCND receptionist duties as needed and arranged.
- Participate actively in the Agency’s Performance Quality Improvement Process.
- Respond appropriately to the cultural differences present within the Agency’s service population and staff.
- Relate well and partner with clients and families, community agencies, organizations and associations.
- Perform other duties designated by the AASK Supervisor.
- Demonstrate values compatible with Agency’s.
Mandatory Qualifications/Certification:
- High School diploma and six months of Business College or two years of secretarial experience.
- Able to type 60 wpm and ability to operate office equipment.
- The ability to handle multiple projects and meet deadlines.
- Ability to observe the confidential requirements and maintain the philosophy of the AASK Program and CCND.
- Organized, efficient, detailed-oriented.
- Willingness to learn new skills and new directions of the AASK Program and CCND.
- Limited travel required.
- Excellent customer service and communication skills with internal and external customers.
